Role Overview

Executive Career Partners is seeking a highly reliable Administrative Assistant to support day-to-day operations, lead management, and internal execution across the organization. This is a hands-on, execution-focused role designed for someone who is detail-oriented, systems-minded, and comfortable working behind the scenes to keep workflows moving smoothly.

This position is ideal for someone who enjoys structured work, clear expectations, and being a trusted internal point of support. While the role is administrative in nature, it plays a critical function in maintaining operational continuity across marketing, lead generation, and client support.

Key Responsibilities

Lead Management & CRM Support

  • Operate and support a Recruiter Prospecting System (RPS) seat
  • Assist with manual lead entry, data accuracy, and CRM hygiene
  • Support lead warming and follow-up workflows
  • Enter and manage contact records and prospect data into Salesforce

Business Intelligence & Contact List Support

  • Assist with execution of Business Intelligence (BI) requests
  • Generate and format contact lists for client use
  • Learn and support Clay workflows as part of BI and data sourcing
  • Ensure accuracy, consistency, and timely delivery of outputs

Administrative & Internal Support

  • Provide general administrative support across teams as needed
  • Act as a point of contact for internal questions and task support

Required Skills & Experience

  • Strong attention to detail and follow-through
  • Comfort with repetitive, high-volume operational tasks
  • Ability to follow documented processes precisely
  • Strong written communication and organizational skills
  • Ability to work independently and manage priorities in a remote environment

Preferred Experience

  • Experience in executive career services, recruiting, or professional services
  • Familiarity with Salesforce, RPS, Clay, or similar tools
  • Experience supporting sales, marketing, or operations teams
  • Comfort learning new systems and adapting to evolving workflows
